How to Plan Custom Shirts for a Team or Event

Keep the group order organized: choose the garment, collect sizes, agree on one design, and confirm the date you need the shirts in hand.

The design is often the fun part of a group shirt order. The harder part is making sure the right people get the right sizes, everyone is working from the same artwork, and the shirts can arrive when they are needed.

Whether you are organizing for a small team, a family gathering, or an event, a short order plan makes those decisions easier. Start with the information below before you build the final order.

Work from the date you need the shirts in hand

Your useful deadline is the day you need to receive the shirts, which may be earlier than the event itself. Allow for your own sorting, handout, travel, or other preparation when deciding that date.

Share the required date with the studio before ordering, along with the product, approximate quantity, and delivery location. Ask whether the plan is achievable. Printing and packing happen before carrier transit, so a shipping estimate alone does not establish when a custom order will be ready to use.

If the event date is fixed, resolve timing first. Do not assume that an order placed online has automatically been accepted as a rush order.

Choose the garment before collecting sizes

Pick the actual product and color you want the group to wear. Size labels alone do not tell everyone how a particular garment will fit. If you need garment details or sizing guidance, ask us before the group commits.

Once the product is agreed, collect each person's chosen size and keep a total by size. A simple count sheet is enough: product, color, size, and quantity. Check that the quantities add up to the number of people you are ordering for.

If you decide to order extras, list them separately so they are a deliberate choice. Avoid guessing someone's size just to complete the sheet. Give the group a clear date to return its choices, then recheck the final counts before ordering.

Keep one person responsible for the final artwork

Group feedback can be useful, but one person should confirm the version that will be printed. Agree on the wording, names, date, and design before that person places the order.

Have someone other than the designer proofread the artwork. Read names and dates slowly. Check the spelling of any sponsor or organization included in the design, and confirm that you have permission to use the artwork or logos you supply.

Review the front and back separately if both will be printed. Adding a back print in the Threadmates custom builder adds $5 per item, so include that choice when checking the order total.

If different people need different names, numbers, artwork, or placements, describe those variations to the studio first. Confirm what can be produced and how to submit the details before paying. Do not assume that one artwork upload automatically creates a different design for every shirt.

Make the order easy to check

Use one final list for the order, rather than collecting changes across several messages. Compare the cart with that list before checking out: product, color, size, quantity, artwork, and selected print sides.

Check the delivery address and the email address used for the order too. If a person or location has changed, resolve it before checkout instead of relying on a later message to catch up with production.

You can keep this short brief with your project:

  • Purpose: what the group needs the shirts for.
  • Garment and color: the product everyone has reviewed.
  • Quantities: the final count for each selected size.
  • Artwork: the approved front file and any approved back file.
  • Variations: anything that changes between individual shirts.
  • Required date: when the shirts need to be in hand, with feasibility confirmed.
  • Delivery: the correct destination and the person receiving the order.
  • Approval: the person who can answer questions about the final design.

Keep the group informed after ordering

Save the order confirmation and use it as the reference for the group. If someone requests a change after the order is placed, contact the studio promptly with the order number. Ask whether the change is still possible; do not promise it to the group before it is confirmed.

When the order arrives, check it against the final count sheet before distributing it. That makes it easier to spot a question while all the garments and order details are together.
